Welcome to Chill Memories (“Company”, “we”, “us”, “our”). By engaging with our services, booking travel packages, or communicating through any of our channels, you agree to abide by the terms mentioned below.
General Terms
• All communication will be through our official registered WhatsApp numbers and email addresses listed on our website.
• Verify all contact information before responding or making any payment. If you deal with anyone outside our official channels, Chill Memories is not responsible.
• Once you book a package from us for multiple destinations, we may assign a local agent for coordination. This is strictly for one-time service only.
• If you book directly with the agent later (not through Chill Memories) and face fraud or overpricing, we are not responsible.
• Any person claiming to be from Chill Memories using unofficial contact details is doing so without authorization.
Payment Terms
• Payments must be made only to Chill Memories’ official bank account or authorized links.
• At times, we may ask you to directly pay hotels, drivers, or service providers — but only if informed clearly by us.
• Payments made without our consent or to any unknown person will be at your own risk. Chill Memories will not be liable for any loss or fraud.
Communication Policy
• You must respond to messages and calls only from our registered WhatsApp numbers.
• Kindly cross-verify the number with the ones listed on our official website before proceeding with bookings or payments.
• We are not liable if you are misled or cheated by unauthorized individuals claiming to be from Chill Memories.
Agent Coordination Disclaimer
• For multi-city packages, we might provide a local coordinator for smooth execution of your trip.
• This coordination is valid only for the current trip.
• If you contact the same agent for future trips outside Chill Memories, and get cheated or overcharged, we will not be responsible.
• The local agent provided is not a representative of Chill Memories for future bookings.
Content & Media Usage Policy
• All photos, videos, and media content used by Chill Memories are published with customer consent.
• Reproduction, reuse, or republishing of our media content is strictly prohibited.
• Legal action will be taken against unauthorized use of our intellectual property, including but not limited to website images, promotional videos, or customer testimonials.
Tour Operation Policy
• If a customer is not present at the pickup location on time, our vehicle will depart without waiting.
• No alternative transport or refund will be arranged in such cases.
Hotel & Tour Terms
• All tours and inclusions are based on the package details confirmed at booking.
• Standard Hotel Check-in: 3:00 PM, Check-out: 12:00 PM.
• Early check-in or late check-out is subject to availability and additional charges.
• Package rates are based on 2 adults traveling together.
• Special requests (e.g. adjoining rooms, smoking/non-smoking, floor preference, etc.) are subject to hotel availability and cannot be guaranteed.
• Amendments or cancellations must be informed at least 96 hours before the scheduled service.
• Hotel surcharges may apply during peak seasons or special events, and will be informed at final confirmation.
Cancellation Policy :
Domestic Packages
• 20% of the total package amount per person will be charged for cancellation any time after booking is confirmed.
• 50% of total package will be charged if cancellation is made 15–20 days before arrival.
• 25% of total package will be charged if cancellation is made 20–30 days before arrival.
• No refund will be provided for cancellations made less than 15 days before arrival.
• For premium hotels, group bookings, or peak season, cancellation terms may vary case to case and will depend on specific hotel policies.
International Packages
• 25% cancellation fee after confirmation.
• 50% cancellation fee if cancelled 21–30 days before travel.
• 75% cancellation fee if cancelled 15–20 days before travel.
• 100% cancellation fee if cancelled less than 15 days before travel or in case of no-show.
• All visa fees, travel insurance, and flight costs are non-refundable once issued.
• Refunds, if applicable, will be processed within 15–30 business days, subject to clearance from hotels, airlines, and service partners.
